Outgrowing QuickBooks and Sage: Stay and Add Tools, or Move to an ERP?

This hub is for growing companies running QuickBooks Online, Desktop or Enterprise, or Sage 50, 100, 200, 300 or Intacct, whose accounting tool no longer fits the business. The decision is whether to stay and add plans and apps, or move to an ERP such as Microsoft Dynamics 365 Business Central, and if you move, how to bring your data across cleanly.

Key points

  • The clearest sign you have outgrown your tool is time: days each month spent consolidating files, re-keying stock and fixing mismatches.
  • QuickBooks Online Simple Start, Essentials and Plus cap you at 250 accounts, and Plus at 5 users; Advanced lifts both, with up to 25 users.
  • QuickBooks Online costs $38–$340 a month per company; Business Central costs $80 (Essentials) or $110 (Premium) per user a month, billed yearly.
  • Staying wins for one entity with simple stock; Business Central wins for several entities, real inventory and audit-grade controls.
  • Microsoft's built-in tools migrate QuickBooks master data, opening balances and open invoices; Sage data moves through configuration packages.

How do you know you have outgrown QuickBooks or Sage?

You have outgrown your accounting tool when the workarounds cost more than the software. Typical signals are separate company files merged in Excel, inventory tracked in another app, logins shared to stay under a user cap, and a month-end close that slips every quarter. One signal can often be fixed with a higher plan. Three or more together usually point to a structural need. Our explainer lists eight signals, the plan limits behind them and a simple way to score your own business.

Should you upgrade your plan or move to Business Central?

QuickBooks and Sage 50 win on price, setup speed and accountant familiarity, and they remain the right choice for a single entity with simple stock. Business Central wins once you need several companies, consolidation, deeper inventory and granular approvals, because those are built in. Subscription prices favour QuickBooks, but add-ons, integrations and reconciliation time narrow the gap. Our comparison sets current list prices side by side, with a cost example for a 10-person team and notes for Sage 100, 300 and Intacct users.

How do you move your data to Business Central?

A clean migration follows six steps: decide scope, clean the source data, map the chart of accounts, load master data, load balances and open items, then reconcile and cut over. Microsoft's QuickBooks extensions move customers, vendors, items, accounts, opening balances and open invoices, but not sales or purchase orders. Sage data goes in through Excel-based configuration packages. Our checklist explains which route fits your system, how much history to bring and how to tie out the trial balance.

What exactly is Business Central?

Business Central is Microsoft's cloud ERP for small and midsize businesses. It keeps finance, sales, purchasing and inventory in one database, so a shipment updates stock, receivables and the general ledger at the same time. It also connects to Outlook, Excel and Teams. If you are comparing it with your current tool for the first time, our explainer in the Business Central hub covers the modules, licensing and who it suits.

Frequently asked questions

Is QuickBooks Online Advanced enough, or do we need an ERP?

Advanced supports up to 25 users and unlimited accounts, classes and locations, which covers many single-company businesses. If you run several legal entities, need consolidation or manage stock across locations with lots or serial numbers, an ERP such as Business Central is usually the better fit.

How much does Business Central cost compared with QuickBooks?

Business Central lists at $80 per user a month for Essentials and $110 for Premium, billed yearly, with $8 Team Members licenses for light users. QuickBooks Online lists at $38 to $340 a month per company. Compare three-to-five-year totals including add-ons and staff time, not subscriptions alone.

Can we bring our QuickBooks history into Business Central?

Microsoft's QuickBooks tools move master data, opening balances, on-hand stock and open customer and vendor documents, not full transaction history. Most companies keep the old system read-only for lookups, or load monthly summary balances for comparisons.

We use Sage. Is there a migration tool?

Business Central has no built-in Sage wizard. Sage data is exported to Excel and imported through configuration packages, which Microsoft describes as advanced functionality best handled with a partner.

We are on QuickBooks Desktop. Do we have to move?

Not immediately. Intuit stopped selling new Desktop Pro Plus, Premier Plus and Mac Plus subscriptions to US customers after 30 September 2024 but still supports existing subscribers, and Desktop Enterprise remains on sale. The change is a good prompt to decide where you go next: QuickBooks Online, Enterprise or an ERP.

How long does a move off QuickBooks or Sage take?

A single company with clean data can move in a few weeks. Inventory, several locations or several entities add time for cleanup, testing and reconciliation. A partner should scope the project before you commit to a date.
